STATEMENT OF JOB:
Working under the direction of the Board of Trustees, the Township Program Manager is responsible for leading the planning, coordination, and execution of township projects and programs. This role involves close collaboration with township staff to ensure effective project management, timely delivery of initiatives, and alignment with township objectives.
The Program Manager is responsible for clear, consistent, and timely communication between the township’s elected officials, staff, and the public. This includes managing and updating the township’s website and social media platforms to ensure all information is accurate and current.
Additional responsibilities include maintaining up-to-date township policies and regulations, monitoring compliance with local and state requirements, and ensuring transparency and accountability across all township operations.
DUTIES AND RESPONSIBILITIES
Project Coordination & Execution: Serves as a liaison for township projects between the Township Director and regulatory and other state, county and local offices including leading the planning, management, and execution of township projects, ensuring they are completed on time, within scope, and on budget.
Internal & External Communications: Manage communication within township departments and with residents. Primarily responsible for managing communications between the elected township officials and the public. Provide updates on ongoing projects, respond to inquiries, and ensure transparency across all project activities.
Website & Social Media Management: Regularly update the township website with project milestones, community notices, and essential information. Oversee the township’s social media presence (Facebook, Twitter, Instagram) by posting relevant updates and engaging with the community providing timely updates along with managing the township’s quarterly newsletters
Stakeholder Management: Act as the liaison between township elected officials, staff, contractors, residents, and community groups, ensuring alignment on project and program objectives and timelines.
Task Management & Reporting: Track and report on project and program progress, timelines, and deliverables. Provide regular updates to the Township Service Director and Board of Trustees. Ensure the completion of tasks in accordance with established deadlines.
Vendor & Contractor Coordination: Support Township Director with managing relationships with external vendors and contractors to ensure that contractual obligations are met and that necessary resources are in place.
Budget & Expense Tracking: Support Township Director to oversee and assist with budget tracking for projects and programs, ensuring that spending is aligned with financial constraints. Assist with procurement and managing operational expenses related to township projects and programs.
Public Events & Community Engagement: Oversee the planning and coordination of events, and other community engagement activities. Support the township’s outreach efforts to foster community involvement.
Work Environment
– Primarily office-based with occasional visits to project sites or community meetings.
– May require evening or weekend work to attend public events, meetings, or help to meet project deadlines
Documentation & Compliance: Maintain accurate records and documentation for all projects, programs and administrative functions. Ensure all activities are in compliance with township policies, local regulations, and environmental guidelines. Ensure township policies are updated and ensure township compliance with external policies and regulations impacting the township.
Reports & Presentations: Assist in the preparation of reports, presentations, and other materials for township leadership, ensuring that information is clear, timely, and accurate.
Administrative: Generally coordinate the administrative functions of the township and facilitate interaction between the administrative staff and the elected officials of the township.
Other Duties: Perform other related duties to support the Township as assigned by the Board of Trustees.
KNOWLEDGE, SKILLS, AND ABILITIES
Project Management: Experience in managing projects from initiation to completion, ensuring deadlines, budgets, and deliverables are met.
Strong Communication Skills: Ability to communicate effectively, both in writing and verbally, with residents, stakeholders, and team members.
Website & Digital Content Management: Proficient in website content management systems (CMS) and able to update and maintain township website content. Skilled in managing social media accounts for public engagement.
Public Relations & Resident Engagement: Strong ability to manage public relations, addressing concerns, and keeping the community informed on key initiatives.
Problem-Solving: Able to anticipate and resolve challenges that arise during project execution or in communication with residents. Takes initiative in achieving project goals.
Technology Proficiency: Familiarity with project management software (e.g., Asana, Microsoft Project), office software (Microsoft Office Suite), and social media platforms. Basic understanding of social media analytics is a plus.
Team Leadership & Collaboration: Ability to work effectively with internal teams, contractors, and residents to ensure project success and maintain a positive work environment.
